Operations & Finance Coordinator
About the Role
iVoiceUp is looking for an Operations & Finance Coordinator to support the day-to-day administrative, financial, and operational functions of the company across our UAE and Egypt entities. This role is ideal for someone highly organized, detail-oriented, and comfortable managing multiple work streams simultaneously.
Key Responsibilities
- Support financial operations including invoicing, expense tracking, and coordination with the accounting/finance team across both entities
- Manage and maintain internal operational processes, SOPs, and documentation
- HR-related operations (onboarding coordination, contract preparation, compliance documentation)
- Prepare, track, and manage NDAs and other standard legal/administrative documents for clients, vendors, and partners
- Maintain and update the company's HR Handbook, ensuring policies remain accurate and current
- Support ISO 27001 information security governance — maintaining documentation, tracking compliance tasks, and coordinating with relevant teams ahead of audits
- Coordinate with vendors and service providers as needed
- Track KPIs and prepare operational/financial reports for management
- Ensure compliance with UAE and Egypt regulatory and labor requirements
- Support cross-functional coordination between finance, Marketing, HR, legal, and client-facing teams
Requirements & Qualifications
- Bachelor's degree in Business Administration, Finance, Accounting, or a related field
- 2–4 years of experience in operations, finance coordination, or administrative roles (experience across multiple entities/jurisdictions is a plus)
- Strong organizational skills with the ability to manage multiple work streams and competing priorities
- Solid understanding of basic financial/accounting concepts (invoicing, expense tracking, reconciliation)
- Familiarity with HR administrative processes (onboarding, contracts, compliance documentation) is a plus
- Exposure to information security frameworks (e.g., ISO 27001) is a plus, but not required
- Excellent written and verbal communication skills in English; Arabic proficiency is a plus
- High attention to detail and comfort working with legal/administrative documents (e.g., NDAs)
- Proficiency in Microsoft Office / Google Workspace tools
- Ability to work independently and take ownership of tasks with minimal supervision
